What is the Dependent Roster Report

The dependent roster provides detailed data for all enrolled employee records with dependent coverage effective as of the begin date entered. The report lists employee records in alphabetical order by last name. The report is generated by entering a single begin date (M/D/YYYY). Records with a future coverage termination date will appear in the report with a termination date in the coverage term date column. The dependent roster report includes data for both employee and covered dependent records including demographics, coverage information, etc. This report also displays dates dependent(s) were added to BenTek as well as the name of the person responsible for the updates.

The dependent's name will be listed under the columns Dep First Name, Dep Middle Name, and Dep Last Name. The date the dependent was added will be listed under the column Dep Added On. The name of the person adding the dependent(s) will be displayed in the column, Dep Added By.

By default, the roster report will include the following four columns associated with Over Age dependent limitations:

  • Age as of [Run Date (MM/DD/YYYY)]: The dependent's age as of the date entered when generating the report. The age of the dependent will appear within this column even if the dependent is not over age
  • Age as of Date Rule: The dependent's age as of the qualifying date for over age dependents. By default, the qualifying date will be the dependent's effective date. The column will only display information for dependents who are considered over age per the Date Rule.
  • Age Band : If the dependent is over age, the column will display the corresponding age range for over age dependents. For example, if an age range for over age dependents is 26-30 and a dependent is aged 27, the column will display 26-30. If there are multiple age ranges for over age dependents, the column will display the age range that includes the over age dependent's age as of the qualifying date (Date Rule).
  • Date Rule: The Date Rule column will display the rule used to determine if a dependent is over age. If a dependent is not over age, this column will be left blank. The following Date Rules are available for configuring Over Age Dependent restrictions:
    • Effective Date: A dependent will be considered over age if their age meets the over age criteria as of the elected coverage's effective date.
    • Effective Date of Dependent Coverage : A dependent will be considered over age if their age meets the over age criteria as of the dependent's coverage effective date.
    • Start of the Calendar Year: A dependent will be considered over age if their age meets the over age criteria as of the start of the calendar year.
    • End of Calendar Year: A dependent will be considered over age if their age meets the over age criteria as of the last day of the calendar year.
    • Start of the Plan Year: A dependent will be considered over age if their age meets the over age criteria as of the start of the plan year.
    • End of Plan Year: A dependent will be considered over age if their age meets the over age criteria as of the last day of the plan year.
    • Dependent DOB: A dependent will be considered over age based on their age as of their most recent birthday.
    • 1st of Month Following Dependent DOB : A dependent will not be considered over age until the first of the month following the birthday in which their age meets the over age requirements (ie. if a dependent meets the qualifying age for over age dependents on May 1st, the dependent will not be considered over age until June 1st)

The Other Coverage column will identify any dependents that have the Other Coverage option selected. The report will show if "Yes" or "No" was selected for the Other Coverage field. If neither option is selected for a dependent (the Other Coverage field was not modified or there was no option for Other Coverage), the Other Coverage column will appear blank.

The Dep PCP/PCD column will display the Primary Care Physician / Primary Dentist number for the dependent effective as of the report's Run Date. The Dependent Verification column (Dep Verification) will display the most current value for the Dependent Verification field (Yes/No). If the field has no value selected, the column will appear blank.
