Process a Personnel Import File

The Personnel Import automates updates to Bentek by importing member data from an ERP system, reducing manual entry and errors.

Run Import File

Navigate to Personnel Import by selecting Benchek from the Benefits Administration Menu.

Upload a personnel file using drag and drop or click to browse. Once uploaded, the new file appears on top of the list.

Each personnel file must have a unique name, otherwise the prior file (with same name) will be replaced.

Select the file you want to run. Some clients may require multiple files for personnel data; you can select and run multiple files at once.  

Scroll down to the Generate section, select the Import Group and Run.

Import Groups are divisions in your members such as Active or Retirees. Depending on site configuration, you may have only 1 or multiple Import Groups.

The default setting for Salary File is toggled off because most clients do not regularly run salary changes through the import. Running a Salary File can impact benefits calculated on plan year or calendar year basis. Check with your Bentek Account Manager before toggling on Salary File.

An alert will indicate when import is in process. The screen will automatically update when import is ready for review.

Review Import Updates

Administrators must review and approve all data updates via Personnel Import. Benchek can be configured to automatically process data updates without Admin approval, for more information contact your Bentek Account Manager.

Personnel Import data is organized in 4 categories:

  • New - Member records not currently in BenTek are New Hires
  • Returning - Existing members with termination date and new status include Rehires or Retirees
  • Termination - Member records with new termination date are Terminations
  • Changes - Member demographic or job changes are data Changes

The Import does not need to be completed before navigating to other Bentek screens. But it does need to be completed to save changes and produce a History report. Administrators can cancel an import and any updates by selecting Cancel Import button.

When all updates have been approved or denied, each category displays zero, the import can be completed.

Once completed, go to History tab to download the most recent report, detailing every discrepancy and data change processed through the Personnel Import.

An alert will notify Administrators if they need to review the Error Report for any data issues on the personnel file.  

Administrators must be focused when processing Personnel Import files. Job changes, Status updates, or address changes could require Administrators to move members to a new benefit class. Administrators have the ability to make all necessary job and benefit changes.
