Eligibility Files
Eligibility files electronically send enrollment data to your carriers weekly, transmitting eligibility changes for your plans. This includes updates such as new hires, terminations, enrollment changes and demographic information for members.
Navigate to the Eligibility page from the Benefits Administration Menu.
Scheduling Eligibility Files
Contact your Bentek Account Manager for questions related to scheduling eligibility files. Administrators do not have access to schedule files. Access can be granted, if appropriate.
Run Eligibility Files Manually
Most clients use scheduled files to automatically run and send eligibility files each week. Administrators should not need to manually run files regularly.
To run a file manually, select the file you want to run (under Eligibility section).
The Run Date is auto-populated and should be one month in advance. For example, in February the Run Date should be March.
Select Run to manually run the eligibility file.
A loading indicator will appear while file is generating; it should only take a few minutes to complete.
Once file has generated expand the Generated Files section.
- The download icon next to file name, opens the file.
- The arrow icon on far right (under Actions), sends the file to carrier.
- The remove icon (trash can) deletes the file.
Do not send an eligibility file to your carrier off schedule unless they are expecting it. Eligibility files should be sent at the same time each week. If you need to send an off-schedule file, contact your carrier to let them know to expect it and process it.
The Search Date under Generated Files is set to display current eligibility files. If you're looking for prior month files, adjust the Search Date.
Eligibility files transmit data to update current eligibility as well as changes that occur in arrears (generally 30 days in arrears). Contact your carrier for help with eligibility changes greater than 1 month in arrears.
During annual Open Enrollment the eligibility file schedule will change. Your Bentek Account Manager will advise you on what to expect.
The File Transaction Log at bottom of page is a log of actions that occur on the page. It logs all files generated and sent, dates and times, and identifies administrator. Move the Search Date to look forward or backward in time.
